    One of the most commonly overlooked aspects of a business is the back office work. Without the administrative and logistical support provided by this department, the front office would be unable to do their job. This begs the question of why back office work is so often disregarded, particularly as it provides the foundation for the company’s success.

    Back office work is critical for many reasons. Not only does it act as the operational backbone, handling day-to-day processes, the back office team also ensures the company follows legal and regulatory requirements. They will typically invest in cutting-edge technology and manage data and information systems, too.

    But, as interesting as that might be, that is not the topic of this post. Instead, the focus will be how to increase the efficiency of the back office. Fortunately, this post outlines three easy steps to achieve this goal.

    Automate Workflows

    While the focus is usually on the front office, which deals with customer service, marketing, and sales, digital transformation is still necessary for the back office. The work carried out in the back office are repetitive, rule-based, and structured. These types of tasks are perfect for automation, even though they are still largely handled manually. 

    Specific back-office process automation can be utilized to select tasks that are high-effort and low-impact. These duties are the most suitable for automation, which can offer a range of benefits. From cutting down on errors to reducing delays, the workflows will be much mor efficient. This also enables workers to focus their efforts on other aspects of the business.

    Additionally, companies like WCD can also help to automate document delivery and accounts payable. If your company depends on compliance and consistency, then this could be incredibly worthwhile.

    Minimize Interruptions

    Distractions and interruptions are key issues that eat into a company’s efficiency and productivity. There is a significant time loss, specifically when refocusing after a distraction. In fact, some studies have found that it can take 23 minutes to recover after an interruption in the workplace, and these minutes will quickly add up over the course of the day. This is why your next step is to minimize interruptions.

    Whether distractions are caused by coworkers, emails and other messaging apps, or the overall work environment, there are ways to mitigate the time loss. Notifications are one of the easiest ways to do this. Any non-essential alerts from chat apps, emails, or social media should be turned off. It might even be beneficial to utilize “Do Not Disturb” mode during tasks that require intense concentration.

    The work environment could be adjusted, too, to prioritize focus. Some employees will benefit from noise-cancelling headphones, particularly if they work in areas with lots of background sounds. Alternatively, you might consider providing quiet areas of “focus pods” for private work.

    Train Employees

    How efficiency your workers are could be affected by their skills and development. Usually, employees who have better training will complete work quicker and with very few, if any, errors. Therefore, if you want to improve efficiency in the back office, then you must focus on ensuring all workers receive the necessary training. 

    Training should not be a one-and-done aspect of business. Regular sessions must be completed by all workers, especially if new software or procedures are introduced. Monitoring each employee’s performance using data analytics helps to pinpoint areas for improvement. This will allow you to set clear goals for all workers to help them understand how their performance impacts the company.

    To conclude, as the back office is a key aspect of business success, efficiency in that department must be improved. Using the three steps explained in this post will help you do just that.
